Need an Office Assistant

I am a Senior Executive Assistant within a fast-paced growing firm. I support the EVP who managings 95% of the company's business and reports directly to the President/CEO. I am currently seeing a Leadership Development Coach and she is encouraging me to develop a business case to my boss to demonstrate why I would need a part-time assistant. I have a very busy job with various levels of responsibility, mostly handling confidential information, as my boss grows, I would like to grow and I know the challenges I will be faced with as the Company grows. Has anyone ever developed a business case for seeking an office assistant? I know the basics I need to include (objectives, initiatives, justification, etc.).

I had to sell my boss on hiring a second admin assistant a while back. All I did was create a job description for the new assistant and one for myself showing what each of us would be responsible for. I took my old job description for myslef and highlighted what I was giving to the new assistant and then I added the other duties to the bottom of my list that I would now have time to do since the assistant would be taking some of my work load. It worked - my "new" assistant has been here since February and is doing great! I once had to make a case for purchasing a costly online subscription to help me find grantwriting information. It pretty much comes down to Return on Investment. I compared the cost of my time to find the info traditionally and the cost to find the same info on the trial subscription, with a projection of future use (a little math required here). You might compare your time (including overtime) to complete known projects in a timely way, compared to what it would cost to delegate some of your work and the reassurances around that (cross training, early completion, your availability for more complex projects, etc.)- - or really any comparison that will justify the money you want them to spend and the benefit for the company. You might even have a Plan B in reserve that would describe a scenario where you share an assistant with another Exec Assistant. Debra Thompson on 9/1/2010 4:17:42 PM
