Ideas for Keeping Your Boss on Task During A Conference

Hello, We are planning a two-day Governor's Conference this month. I am looking for ideas for keeping my boss on task while he is presenting; conducting plenary sessions; hosting receptions, etc. Please let me know how you have managed this task. I don't want to give him a lot of paper to carry around or read from. I'm thinking about flash cards, or 1/2 sheets of paper, etc. Thank you!

My boss prefers to have everything electronically on her Blackberry because it's too easy to lose papers. We also put each session in as a single appointment with room location, speakers names, etc. But, we go one step further and create a binder for the conference sorted by tabs for each session. This helps keep her remarks for each session in place. At a recent conference, I printed out the map of the hotel meetings spaces (which the hotel provided) and circled each room in which she would be attending a session, and wrote next to the space the date/time/topic. This helped her to save time, so she wasn't wandering around looking for rooms. Smaller is not necessarily better; smaller can mean easier to lose. LKW on 1/29/2010 12:10:12 PM
If my boss is taking a trip or has a full day of activities, I put everything into Outlook on his calendar so it's in one place. I make an appt. for every activity and put all talking points , notes and points of contact in the body of the appt. I then print the calendar day out in "calendar details". If he happens to lose his printout, at least he can view his calendar on his BlackBerry. Rian Watson on 12/7/2009 2:01:37 PM

I've used a thin presentation book. It's typically a small binder with top loading sheet protectors inside. It also has side tabs so he can easily get to the task he is looking for. I have used the following: Agenda (full schedule) Task 1 (date, time, or event name) Task 2 (etc.) I hope this helps! Anonymous on 12/7/2009 7:27:08 AM
