Does anyone assist with marketing needs? If so, can you explain what you do and how it benefits your marketing department? Thank you. Kim

I worked as the assistant to an EVP of Marketing for close to ten years. Responsibilites included market research reports and projections, campaign budgets, purchasing promotional items for various campaigns/events, coordinating community events, seminars and presentations, press releases, photography, website maintenance and ad layouts. That's off the top of my head, but it was a constant flow of activity, which I must admit, I miss on a daily basis. This position is the coordinator of the department, for me it was the director, EVP, a writer and graphic artist, keeping all on deadline, along with basis office support. Hope this helps. I’ve worked in marketing for fifteen years as a secretary and administrative assistant. When supporting the account executives and various Vice Presidents, I maintained a list of customers and maintained their contact list – making sure it was always up to date. Maintaining the customer files to make them easily understood and accessible, is important. I made it my job to know our customers, to the point of recognizing their voices. I prepared marketing packets with information about our organization – how we can help them, who we are, and how they can work with us. I set up customer secretary meetings, luncheons, and trainings to involve our customers and the people we work with and helped to make us a team. Our customers appreciate the personal touch and interest. I believe job morale is everyone’s business and I made it my business to make this a place that everyone wanted to work – fun, interesting, happy. Decorating with plants, social times, recognition and awards, holidays, and participating in inside jokes. Pointing out the best in others helps others to see and appreciate their co-workers. I set up internal secretary meetings and functions – our offices are wide-spread throughout three states, and made a point of visiting them where they worked. I even worked their desks in an emergency absence. This helped me to get to know them and their work, created a team atmosphere, and we learned from each other. While I am in Sales, we work closely with Marketing & some of my closest friends work in marking and we bounce ideas off each other daily. Here are some things that may help. >> Schedule their meetings for them in Outlook. Marketing Depts have a lot of meetings. By taking on the task of scheduling their meetings & ordering lunch in for lunchtime meetings, this frees their time to work on other important items of the day. Be sure to keep track of who can make it & who declines meeting request. Some that decline may be key particpants in the meeting & you may need to reschedule. >> Take the lead to research marketing promo & 'thank you' items for the dept. I.E. Ordering Shirts, Cups, & other misc give-aways. Be sure to keep catalogs on hand from various vendors for quick reference. >> Learn AC Nielsen and other Syndicated Software that tracks performance and sales. This helps them tremendously. Pulling syndicated data make take hours to pull and cleverly put together reports. This is a time savor for them and helps build your skills as well. >> Marketing Depts frequently have off-site meetings and fun gatherings for team building activities. Do some research in advance of fun things to do in your area. This way, when the time comes for scheduling team building events, you are prepared & have great ideas at the gate for the team. >> Build your PowerPoint skills & assist them in building clever presentations for meetings.
